PAPERLESS CONVERSION



Many clinics purchase an EMR system mainly for management purposes including scheduling, billing, and organization functions. EMR systems also have a great capability for the management of records. Kela Medical Inc. can take the nuisance out of becoming paperless with convenient services from pick up of boxes and storage of documents, to keeping an inventory of all documents through log sheet recording. The boxes are stored in a secure storage vault while awaiting processing.

Document Control


Document access is controlled throughout the project. There is an audit trail for every process in the workflow for the physical documents. Each box of paper must be signed for at every process during the workflow and the boxes are checked out and checked back in for each process by a project manager.

Image Editing


All of the images will be edited in a post-processing mode and will be de-skewed, cropped and rotated as required to be acceptable for “right-reading”.

Document Preparation and Processing


Staples, brads, paper clips, post-it notes and other attachments will need to be removed from all documents. Post-it notes from single-sided documents will be taped to the blank side of the page. The duplex scanners will allow the notes to become an additional page to a document. High-speed auto feed duplex scanners accommodate various page sizes, up to 11’ x 17”. The original will be placed back in the sequence within the record and the scanned image will be inserted into the appropriate sequence within the scanned record file.

Document Destruction or Storage


Kela Medical Inc. also provides unparalleled document destruction though a partnership with Shred-It. The service is 100% certified by the National Association of Information Destruction. If the physician would prefer not to destroy the documents after they are converted to electronic copies, the documents can be stored in our secure storage facility.

 

DESTRUCTION AND STORAGE
